These Terms and Conditions apply to your use of this website and any purchase or use of services offered by TutorMatcha via this website. By using this website, enquiring, booking, or purchasing services, you agree to these Terms.

2. Definitions

  • We, us, our means TutorMatcha.

  • You, your means any website user, parent, guardian, student, or purchaser of services.

  • Services means tutoring, admissions guidance, consultation calls, courses, packages, and any related materials provided by us.

  • Tutor means any tutor, mentor, consultant, or representative delivering Services on our behalf.

3. Using the website

You agree not to misuse the website. This includes attempting to access areas you are not authorised to access, introducing viruses, scraping, or interfering with the site’s normal operation.

We may update, suspend, or withdraw parts of the website at any time.

4. Our Services

We offer tutoring services and UK university preparation support, including one to one guidance.

Service details, pricing, and what is included in any package will be confirmed at the point of enquiry, checkout, invoice, or in writing by email.

We may use different Tutors over time. Where possible, we will try to keep you with the Tutor you selected, but we cannot guarantee Tutor availability.

5. Enquiries and free consultations

If you submit a form or request a consultation, you confirm that the information you provide is accurate to the best of your knowledge.

Any free consultation is informational and does not create an ongoing obligation on either side unless you proceed to a paid booking.

6. Accounts, bookings, and eligibility

You must be at least 18 to purchase Services. If the student is under 18, a parent or legal guardian must book and remain responsible for payments, permissions, and supervision.

A booking is only confirmed when:

  • payment is made (or a payment plan is agreed in writing), and

  • we confirm your session, package, or start date in writing.

7. Prices and payment

Prices are shown on the website or shared in writing. Payment may be taken through the website payment flow, invoice, or another agreed method.

Unless stated otherwise:

  • fees are payable in advance

  • package sessions must be used within [3 / 6 / 12] months of purchase (choose one and insert)

If a payment is late, we may pause delivery of Services until the account is up to date.

8. Cancellations, rescheduling, and missed sessions

Your cancellations and reschedules

  • You may reschedule a session with at least [24 / 48] hours notice (choose one).

  • Cancellations or reschedules with less notice may be treated as a used session and charged in full, unless we agree otherwise in writing.

  • If you do not attend a session (including arriving very late), it may be treated as a used session.

Our cancellations
If we need to cancel a session, we will offer a reschedule. If a reschedule is not possible, we will refund the affected session fee or credit it to your package.

9. Refunds

Refunds are handled fairly and in line with your statutory rights.

Unless required by law, we do not offer refunds for:

  • unused portions of packages after the usage window in section 7

  • missed sessions

  • changes in circumstances, availability, or preference once delivery has started

If you are purchasing as a consumer in the UK, you may have a legal right to cancel within 14 days in some circumstances. If you ask us to start Services within the 14 day period, you may be asked to confirm you understand that you may lose the right to cancel once the Services are fully delivered, and you may need to pay for Services delivered up to the point of cancellation.

10. What we expect from you

To get the best outcome, you agree to:

  • provide accurate background information relevant to the student’s learning and goals

  • ensure the student attends sessions prepared and on time

  • behave respectfully towards Tutors and staff

We may suspend or end Services if there is abusive behaviour, harassment, discrimination, or repeated disruption.

11. Safeguarding and supervision

For students under 18:

  • a parent or guardian remains responsible for the student before, during, and after sessions

  • for online sessions, you are responsible for ensuring a safe environment and appropriate supervision

If we have safeguarding concerns, we may pause sessions and request clarification, and where necessary we may follow appropriate safeguarding procedures.

12. Online sessions and technology

Where Services are delivered online, you are responsible for a stable internet connection, a suitable device, and access to required platforms.

We are not responsible for disruptions caused by your equipment, connectivity, or third party platform outages.

13. Admissions guidance and outcomes

We provide guidance, coaching, and support based on experience and best practice. We do not guarantee:

  • specific grades or exam outcomes

  • offers from any school, college, or university

  • scholarship outcomes, visa outcomes, or third party decisions

Final decisions always sit with the relevant institutions and the student’s own performance.

14. Intellectual property

All materials we provide (worksheets, plans, documents, slides, templates, and any other resources) remain our intellectual property or the intellectual property of our licensors.

You may use materials for personal learning only. You must not copy, share, publish, resell, or distribute them without written permission.

15. Confidentiality

We will treat your information confidentially and only share it where necessary to deliver Services, where legally required, or where safeguarding concerns apply.

You agree not to record sessions or share Tutor communications or materials publicly without written consent.

16. Privacy and data protection

Our handling of personal data is described in our Privacy Policy and related policies, available via the website.

17. Complaints

If you are unhappy with any aspect of the Services, please contact us and we will aim to resolve the issue promptly and fairly.

18. Limitation of liability

Nothing in these Terms limits or excludes liability for death or personal injury caused by negligence, fraud, or anything else that cannot be excluded under law.

Subject to that:

  • we are not liable for indirect or consequential losses

  • our total liability relating to Services is limited to the amount you paid to us for the Services giving rise to the claim

This website may include links to third party sites. We do not control and are not responsible for their content or policies.

20. Changes to these Terms

We may update these Terms from time to time. The latest version will be posted on the website with an updated “Last updated” date.

21. Governing law and jurisdiction

These Terms are governed by the laws of England and Wales. The courts of England and Wales will have exclusive jurisdiction, unless consumer law in your country of residence requires otherwise.
